Creative Mindworks Marketing LLC (“Creative Mindworks,” “we,” “us” or “our”) is a marketing, web development and AI agency based in Miami and San Diego. This policy explains what information we collect through creativemindworks.com, how we use it and the choices you have.
Information you give us
- Contact form. Your first and last name, email address, phone number, the type of inquiry, the service you are interested in, your budget range and your message.
- AI video sample request. Your name, practice name, email address, phone number, the handout file you upload (PDF, Word or image) and any notes. We use the handout only to prepare your sample video. The file is sent to our team by email and is not stored on our website.
- Client feedback form. Your rating and, if you choose to give them, your feedback, name, company and email address. If you check the consent box, we may quote your feedback, with your name and company, on our website and in our marketing materials. If you follow a link from the feedback page to a public review site, we note which site you chose.
- Email and phone. If you email or call us, we keep your message and contact details so we can respond.
Please do not send us health information. Our website forms are not meant for patient information or other protected health information. If you upload a handout, send a blank template with no patient names or health details.
Information collected automatically
- Analytics. We use Google Analytics to understand how people use our site: the pages visited, time on the site, general location (such as city or country), device and browser type, and how you found us. We look at this information in aggregate to improve the site.
- Spam and bot protection. Our contact and sample request forms use Cloudflare Turnstile, which checks browser and device signals to tell people apart from automated bots. Our feedback form keeps a coded (hashed) version of your IP address and your browser type to stop spam and duplicate submissions.
- Security and server logs. Our hosting and security software record information such as IP addresses, browser type and the pages requested, to keep the site secure and running and to block attacks.
- Fonts. Our site loads fonts from Google Fonts, so your browser connects to Google’s servers, which receive your IP address.
- Award badges. Some badges on our site, such as our TechBehemoths awards, load from the award provider’s servers, which receive your IP address and the address of the page you are viewing.
How we use your information
- To respond to your inquiry and prepare quotes, proposals and sample work you request
- To provide and manage the services we perform for clients
- To publish testimonials you have agreed to share
- To understand and improve our website and marketing
- To protect our site and business from spam, fraud and security threats
- To meet our legal obligations
We do not sell your personal information, and we do not share it for targeted advertising.
AI tools
As an AI agency, we use AI tools from established providers in our own work, for example to help draft and organize email, schedule meetings and create content. Some messages from our team are prepared with the help of AI assistants that work under our team’s direction. Information you send us may be processed by these providers only to help us do that work.
How we share information
We share personal information only with service providers that help us run our website and our business, and only as much as they need to do that work. These include our website hosting and security providers, the email services that deliver and store our email, AI tool providers, Google (Google Analytics and Google Fonts), Cloudflare (Turnstile) and TechBehemoths (award badges).
We may also disclose information when required by law, to protect our rights, property or safety or that of others, or as part of a business transfer such as a merger or sale of our business.
Cookies
Cookies are small files stored by your browser. Our site uses:
- Google Analytics cookies (_ga and _ga_ followed by our site ID) to measure visits and site usage. These last up to two years unless you delete them.
- Cloudflare Turnstile, which may use cookies or similar technology to detect bots on our forms.
- WordPress and security cookies, set only for people who log in to manage the site.
We do not use advertising, remarketing or social media tracking cookies on our site, and we have not turned on Google Analytics advertising features. If that changes, we will update this policy first.
You can block or delete cookies in your browser settings, and our site will still work. You can also opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on.
Do Not Track and Global Privacy Control. Our site does not change how it works in response to Do Not Track browser signals, because there is no common standard for them. We do not track you across other websites, and we do not sell or share personal information for targeted advertising, so there is nothing on our site for a Global Privacy Control signal to opt you out of.
How long we keep information
We keep messages from our forms, email and phone for as long as we need them to respond to you and for our business records. We keep client information for the length of our working relationship and afterwards as required for legal, tax and accounting purposes. We keep testimonials until you ask us to remove them. Google Analytics keeps data linked to cookies for up to 14 months under our current settings; after that, only aggregated reports remain.
How we protect information
We use reasonable technical and organizational safeguards to protect personal information, including encrypted connections (HTTPS) and security monitoring on our site. No website or system is completely secure, so we cannot guarantee absolute security.
Your choices and rights
You can ask us to tell you what personal information we hold about you, to correct it or to delete it. You can also ask us to remove a testimonial or to stop sending you marketing emails, and every marketing email we send includes a way to unsubscribe. To make a request, email info@creativemindworks.com. We may need to confirm your identity before we act on a request.
Depending on where you live, you may have additional rights under state law. We will respond to requests as the law requires, and we will not discriminate against you for using your privacy rights.
California residents. You can review and ask us to correct the personal information you have given us through our site by emailing us. Under California’s “Shine the Light” law, you can ask whether we have shared your personal information with third parties for their own direct marketing. We have not.
Children’s privacy
Our website is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has sent us personal information, contact us and we will delete it.
Links to other websites
Our site links to other websites, such as Instagram, LinkedIn, review sites such as Google and Clutch, and our clients’ websites. Their privacy practices are governed by their own policies, not this one.
Changes to this policy
We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page.
